The Impact South Asia foundation processes personal data. We do this in accordance with current legislation regarding the protection of personal data. As of May 25, 2018, this is the General Data Protection Regulation (GDPR). This privacy statement is intended to inform you how we handle your personal data and what your rights are.

Who is this privacy statement intended for?

This privacy statement applies to donors, subscribers to our newsletters and visitors to our website.

What is our legal ground for processing personal data?

Impact South Asia processes personal data and is therefore responsible for the processing. The legal basis we use is to request permission from the data subject for specific processing.

Donors

Impact South Asia receives donations for general purposes and specific projects in South Asia. We receive a name and bank account number for every donation. This information is linked and included in our financial administration. In addition, this information is also added to our relationship database (what we do with this is explained in more detail).

Newsletter subscribers

In order to send newsletters, we store contact details of subscribers (name, address, email address) in our relationship database. We send newsletters by email. When sending newsletters, Impact South Asia uses a system that provides insight into how these emails are opened and which links are followed in these emails. This helps Impact South Asia further optimize the information we send. You can unsubscribe from newsletters by following a link provided in each newsletter.

Website visitors

We use Google Analytics to analyze how our websites are used. The aim of this is to improve the use of the website. When setting up Google Analytics, we have taken the following privacy-promoting measures:

  • Google Analytics is only allowed to process your IP address anonymously.
• The data sharing options of Google Analytics have been disabled, so collected information is not shared with Google or other parties.

What do we use our relationship database for?

As described above, we store contact details, donation information and preferences for receiving newsletters in our relationship database. We use this data for the following purposes:

  • To be able to provide information about our work and to request support.
  • To be able to thank donors specifically for donations.
  • To gain insight into our support network and the connection with specific projects.

Data from our relationship database will not be shared with third parties unless this is required for the correct distribution of donations.

How long do we keep your data?

We do not store personal data longer than necessary for the related purposes the data was collected for. We do keep this data for at least as long as specific regulations require and/or no longer than specific regulations allow. We do not have a limit in how long we keep contact details in our relationship database. This data can be deleted or changed upon request (see next paragraph).

View, change or delete data

You can request access to the data we have stored about you at any time. You must show proof of your identity before we provide you with information about your personal data in our administration.
You can request to change personal information we have about you by sending us an email (see contact details below). You can also request to have your data deleted, but this is only possible to the extent of the legal requirements we have to meet, such as the legally required retention period. If the specific information is processed by us because of your permission, you can always cancel this permission.

This is how we ensure that personal data is only accessible to employees who are authorized to do so based on their position and that we use personal data only for the purposes for which it was obtained and for compatible purposes.
